PR Médicos respects the privacy of everyone who visits this website and everyone who contacts us. This policy explains what personal data we collect through the website, for what purposes, how long we keep it and what your rights are, under the General Data Protection Regulation (Regulation (EU) 2016/679, “GDPR”) and Portuguese Law no. 58/2019 of 8 August.

This policy applies to the website only. The processing of clinical data in connection with appointments is governed by the separate information provided at the clinics.

2. What data we collect and why

Appointment request

When you fill in the appointment request form, we collect: preferred clinic, name, phone number, email (optional), type of appointment, preferred dentist or hygienist (optional), preferred time and notes (optional).

  • Purpose: to contact you to confirm the appointment.
  • Legal basis: your consent (Article 6(1)(a) GDPR) and steps taken at your request prior to entering into a contract (Article 6(1)(b)).
  • What we don’t ask for: the form has no fields for health data. The notes field is for practical information (for example, the best time to contact you). Please do not include health data; your clinical case is discussed at the appointment.
  • Where it goes: the request is sent by email to the reception of the chosen clinic. The website does not store requests in its database.
  • Retention: the request email is deleted within 1 year after the appointment is booked or the request is not followed up.

Contact by phone or email

If you contact us directly, we use the details you give us only to respond to your request.

Security and abuse prevention

To prevent automated spam, the website temporarily stores an encrypted (irreversible) version of the IP address of anyone submitting the form, for one hour. Legal basis: legitimate interest in the security of the website (Article 6(1)(f) GDPR).

Usage statistics (Google Analytics)

Only if you accept analytics cookies. Through Google Analytics 4, we collect technical and browsing data: pages visited, where the visit came from, type of device and browser, language, approximate location (country and region) and pseudonymous online identifiers stored in cookies. We do not collect the content of forms or any health data.

Purpose: to obtain aggregate statistics to improve the website and understand which ways of getting in touch (phone, directions, appointment requests) are used most at each clinic.

Legal basis: your consent (Article 6(1)(a) GDPR and Article 5 of Portuguese Law no. 41/2004), which you can withdraw at any time under “Cookie preferences” in the footer.

Retention: data is kept in Google Analytics for 14 months; the cookies last up to 13 months.

3. Who we share data with

  • The website’s hosting and email provider, acting on our behalf and on our instructions (processor): Dominios.pt.
  • Google (maps): only if you click “Show map” on a clinic page. At that point, Google receives your IP address and may set its own cookies. Google may transfer data to the United States under the EU–US Data Privacy Framework. You can always use the “Directions” link without loading the map.
  • Google Ireland Limited (Google Analytics): only if you accept analytics cookies. Provides the statistics service on our behalf. Google may transfer data to the United States under the EU–US Data Privacy Framework.

We do not sell or pass on personal data for marketing purposes.

4. Your rights

You may at any time request access to your data, its rectification or erasure, restriction of processing and data portability, and you may object to processing. Where processing is based on consent, you may withdraw it without affecting the lawfulness of processing already carried out.

To exercise these rights, write to prmedicosbrr@gmail.com. We will reply within one month at the latest.

You also have the right to lodge a complaint with the Portuguese data protection authority, Comissão Nacional de Proteção de Dados (CNPD) — www.cnpd.pt.
